What We Collect and Receive
In order for us to provide you with assistance and services, we need to collect and process certain information.
When you contact us by email or using the contact form on this website, we will store information including your name, email address, and enquiry content.
We will retain this information for as long as required to respond to and resolve your enquiry, and for up to one month afterwards. The information may be retained in our automated backup snapshots for a further two months after it is deleted from our live systems.
If you contact us to volunteer to help at our festival in Scotland, we may keep your enquiry on record for up to five years.
When you subscribe to our email mailing list, we will collect your email address and retain it while you remain subscribed to the list. If you unsubscribe, we may retain your information for a further two months in our data backup snapshots.
When you purchase one or more event tickets from us, we may collect, process, store and use personal information including your name, address, phone number, email address and credit card/payment details. We may also collect personal data that you give to us about other people if you register them to attend an event. You agree that you have notified any other person whose personal data that you provide to us of this privacy notice and, where necessary, obtained their consent so that we can lawfully process their personal information in accordance with this policy.
We’ll use the information we collect when you purchase one or more event tickets for purposes such as to:
- Send you information about your order
- Respond to your requests, including refunds and complaints
- Process payments and prevent fraud
- Set up your (optional) account for our store
- Comply with any legal obligations we have, such as calculating taxes
- Improve our store offerings
We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store ticket purchase information for up to seven years for tax and accounting purposes. This includes your name, email address and billing address.
We may share parts of this information with our payment processor (Stripe) and our ticketing partner (Ticket Tailor) as described below, purely to take your payment and to send you the tickets you have ordered.
We use a select number of trusted external service providers for certain technical data processing and/or service offerings. These service providers are carefully selected and meet high data protection and security standards. We only share information with them that is necessary for the services offered, and we require them to maintain confidentiality and process Personal Information only according to our instructions. Sprocket & Spark Ltd uses the following subprocessors to process the data collected in connection with the Adventure Travel Film Festival Scotland:

Retention of data

We may also collect and maintain aggregated, anonymized or pseudonymized information which we may retain indefinitely to protect the safety and security of our Site, improve our Services or comply with legal obligations.
We may update this Policy from time to time. If we do, we’ll let you know about any material changes, either by notifying you on the website or by sending you an email.
